This page, together with our Terms and Conditions sets out the basis on which any data we collect from you, or that you provide to us, will be processed. The type of information we collect and hold about you will depend on whether or not you are a member of the Charities Facilities Management Group, a registered user of our website or simply browsing our resources or contacting us for other purposes.

Visitors to our website

We fully respect the privacy and personal data of visitors to this website.

It is not necessary for you to register with us in order to access the website.

When someone visits our website we use a third party service, Google Analytics, to collect standard logging information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is processed in ways which do not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website. 

Our website may contain links to other websites. If you follow a link to any of these websites, we do not accept any responsibility or liability for these sites and their policies.

If we do decide to collect personally identifiable information via our website, we will be open about this. We may collect information from interactive features such as online surveys, contact and registration forms. We will make it clear when we collect personal information and will explain what we intend to do with it.

Basis for processing data

The General Data Protection Regulation ( GDPR) sets out a number of lawful reasons for organisations to be processing personal data. The Charities Facilities Management Group will rely on 'legitimate interest' (as per GDPR Article 6) as the basis for processing of personal data. 

When you provide your details to us, we use this information to pursue our legitimate interests as a membership network which  provides news and information to our members.

If you are a Charities Facilities Management Group member, you will have provided information about your organisation and about individual Charities FM Group participants. We may also collect information during the course of your organisation's membership. This may include information about attendance at events, email preferences, responses to surveys, queries submitted to the Group and other contacts you may have with us (including the use of any of our services). 

We will use this information for the purposes for which you provided it to us: to administer the Charities Facilities Management Group, to administer your membership record, to inform you and other members of activities and fulfil our services to you as a member.

More generally, we may use personal information for the following purposes:

    •    to respond to requests;

    •    to publish (either on the website or via email) information which you have submitted;

    •    to communicate with you generally.

We will not, without your express consent, supply your personal information to any third party for the purpose of their or any other third party's direct marketing.

Third-party data processors

We use two third party party processors (MailChimp and Eventbrite) to deliver our email newsletter and to manage event registration. These processors comply with legislation and are EU-U.S Privacy Shield compliant.

For our newsletter, we gather statistics related to email opening and clicks using industry standard technologies. 

Information submitted for the website

If you submit information to this website it is your responsibility to ensure that it is correct and stays up to date. 

Personal information which you submit for publication on our website may be available via the internet around the world. We cannot limit the use of such information by others.

Data storage

Data relating to members and other affiliates is stored securely and is only accessible to authorised persons.

You may be entitled, to obtain access to personal data that we hold about you. If you wish to do this, you should:

  • specify the personal data you want access to.

We may reply requesting further information and an administration fee before responding to your request.
